General Summary

Plan and coordinate administrative and operational activities in support of an Academic Department Head, Director, or equivalent level staff administrator of a moderate- to large-sized department, with broad authority to make commitments within designated areas of responsibility.

Principal Duties and Responsibilities

  • Coordinate the preparation of budgets, grant applications, proposals, status reports, and financial statements.
  • Oversee the preparation of budget projections and plans, including staffing requirements.
  • Review and approve staffing plans and transactions, such as definitions of duties, reporting relationships, selection and assignment of staff, and performance evaluations.
  • Assist with moderately complex administrative/operational activities, such as course and/or program development, committee activities, and special projects.
  • Conduct studies of, and recommend, space allocation, facility renovation and construction, and equipment purchases.
  • Coordinate the development and implementation of administrative policies and procedures.
  • Interview, hire, train, and evaluate the performance of support supervisors and staff.
  • Represent the Department to other administrators and to outside agencies, with broad authority to make commitments on administrative policies and procedures.
  • Resolve operating problems and employee/student complaints and grievances.
  • Monitor the financial status of budget allocations and/or research projects.
  • Review and approve expenditures on materials, equipment, support staff, and travel.
  • Prepare monthly and yearly projects of unit operations and associated costs.
  • Perform related Departmental duties, as required.

Minimum Qualifications:

Knowledge of accounting and financial principles and business administration, typically acquired through the completion of a Bachelor's degree in Business Administration, Office Technology, or related field, is necessary.

Three years' administrative/office management experience is necessary.

If this position works directly with grant funded projects, prior experience with grant writing and budgeting may be required.

Additional qualifications specific to area of assignment may be desirable.
