General Summary
The Assistant Athletic Director, Special Events will be responsible for oversight of all special events, University events and outside group events for Eastern Michigan Athletics. The Assistant Athletic Director, Special Events will negotiate and contract events at the George Gervin GameAbove Center and all other athletic facility space. This position will coordinate details of events with the athletic department and University staff and ensure customer satisfaction with events.
Principal Duties and Responsibilities
- Plan, implement and coordinate all aspects of athletic special events.
- Maintain knowledge of departmental activities, sports schedules and procedures.
- Serve as the athletics department’s main contact for all University sponsored events in the George Gervin GameAbove Center and other athletic facilities including, but not limited to, EMU commencements and graduations, club sports, Rec/IM and other special events.
- Serve as the primary athletics liaison for the following groups, as it relates to special events and rentals: athletics administration, President’s Office, Learfield, University personnel, including DPA, Chartwells, Eagle Parking, IT, E-Club, Foundation, etc.
- Communicate with potential users related to facility availability and scheduling walk-throughs.
- Negotiate and prepare facility use agreements prior to events and assist in tracking expenses and invoicing users post event.
- Schedule and coordinate event staffing and campus departments to provide needed event support (EMU Athletics staff, EHS, campus facilities staff, Eagle Parking, etc.).
- Develop and maintain database of potential clients on both local and national levels.
- Work in conjunction with athletic coaches and other University staff to plan, coordinate, market and stage University-sponsored sports camps.
Serve as athletic department liaison to the NCAA, Ann Arbor Sports Commission, MHSAA and other outside groups for all special event bids and hosting opportunities.
- Ensure that the department maintains an active role in relevant state, regional and national professional organizations and associations.
- Responsible for scheduling and coordinating MTS needs and requests for all home athletic events and contests.
- Responsible for scheduling HVA ambulance coverage for all home athletic events and contests.
- Communicate with athletic coaches and staff on day to day practice and gameday schedules within the G3 Center.
- Serve as Game Administrator for select athletic contests.
- Additional duties and/or special projects as assigned by the Senior Associate Athletic Director, Facilities, Operations and Capital Projects and/or senior athletics administration.
Minimum Qualifications:
A bachelor’s degree is required.
A minimum of three (3) years of marketing, mass communications and sports and facility management experience is required.
Previous experience exhibiting progressive responsibility in marketing, promotions and contract negotiations is required.
Excellent oral and written communications skills are required.
Strong organizational skills are required.
Excellent customer service skills are required.
Preferred Qualifications:
Extensive knowledge of the entertainment industry is preferred.
